Problem
Conference Leads Not Converting
A team comes back from a trade show or conference with a stack of scanned badges, a few good conversations they remember, and a spreadsheet that goes quiet within a week. The stand cost real money. The days out of the field cost more. Most of what came back from it never turns into a booked meeting, let alone a deal.
What goes wrong
Where teams get stuck
- Conversations on the stand stayed at company-and-role level instead of surfacing a real problem
- Nothing specific got written down, so a lead is a name and a badge scan, not a reason to follow up
- Follow-up waits until everyone's back at their desks, by which point the visitor barely remembers the stand
- The follow-up message is generic, because there's nothing specific from the conversation to reference
- Meetings that could have been booked on the spot get left to a cold follow-up email instead
- The event gets measured on footfall and lead count, so nobody notices conversion is the real problem until months later
The approach
How we fix it
- 01
Understand
We look at what actually happens on your stand today: how conversations open, what gets written down, and how many of last year's leads turned into a booked meeting.
- 02
Simplify
We narrow the conversation down to what earns a real follow-up: a problem worth solving and a note specific enough to reference three days later.
- 03
Practise
Sellers rehearse the compressed version of discovery a booth allows, and the habit of capturing what's actually said, before they're doing it live with a queue forming behind the visitor.
- 04
Coach & Reinforce
We build in a same-day or next-day follow-up standard, so the window between a good conversation and the email that references it doesn't stretch into next week.
Outcomes
What changes
- Leads leave the show with a note specific enough to follow up on properly
- Meetings get booked on the stand instead of depending on a cold follow-up later
- Follow-up happens inside days, while the visitor still remembers the conversation
- The team can measure the show by meetings booked, not just footfall and badge scans
FAQs
Common questions
- Is this a marketing problem or a sales problem?
- Both play a part, but the conversation on the stand and the follow-up after it are sales behaviours, not stand design or badge-scanning technology. That's the part this addresses.
- Does this apply to conferences as well as trade shows?
- Yes. Any event where sellers have short, unplanned conversations with people who didn't book a meeting has the same failure pattern, whichever word your industry uses for it.
- We already do lead scoring after the show, does that fix this?
- Lead scoring works on the information a lead actually contains. If nothing specific got captured on the stand, scoring is just ranking guesses. The fix has to happen at the point of conversation, not afterwards.
